Annual Giving Assistant

 

Department: Development

Location: Campus for Compassion

Status: Full-time

FLSA: Non-exempt

Schedule: Monday - Friday

Reports To: Annual Giving Officer

Supervises:  N/A

 

Position Overview

The Arizona Humane Society ("AHS") is seeking an Annual Giving Assistant to work in partnership with the Annual Giving Officer (AGO) to market and administer AHS' annual giving programs and support additional fundraising initiatives. This position demands attention to detail and the ability to work efficiently with a variety of computer programs.  The successful candidate will work closely with a variety of personalities with varying work styles within cross-functioning teams.

Essential Functions

  • Monitor multiple AHS email accounts and respond in a timely manner to donor emails, telephone inquiries and written requests for annual giving program information.
  • Code incoming gifts to proper donor records and funds in AHS' donor database, Raiser's Edge, in accordance with AHS guidelines.
  • Generate, print, proof and route for signature gift acknowledgement letters for annual giving programs and general donations.
  • Manage correspondence and mailing of materials to new President's Club members.
  • Generate, print, proof and route for signature renewal and acquisition letters.
  • Facilitate annual giving benefit fulfillment and year-end mailings.
  • Manage monthly queries for prospect identification, coding and data integrity.
  • Maintain and report President's Club membership numbers and status to AGO monthly.
  • Record Circle of Friends information in Raiser's Edge database. Maintain and report Circle of Friends membership numbers and status to Individual Giving Manager.
  • Assist the Individual Giving Team with stewardship fulfillment including merging, printing and mailing communication.
  • Attend and assist with planning of President's Club & Circle of Friends donor committee meetings, events and activities, both cultivation and benefit fulfillment, to include scheduling, venue, RSVP, collateral, communication and mailing logistics.
  • Demonstrate genuine care and concern for the quality of the donors' experience to build and further relationship.
  • Steward donors during visits and tours, thank you calls, cultivation calls, stewardship calls and record notes.
  • Gather information to be used in conjunction with marketing and stewardship calendar.
  • Assist AGO with program growth and development through creativity and new ideas.
  • Assist and provide administrative support to other members of the Development Team for special events and initiatives.
  • Other duties as assigned.

Qualifications

 

Education / Certifications / Licenses:

  • High school diploma/GED
  • Bachelor's degree preferred
  • Driver's license

 

Experience:

  • Two years of experience in a professional office setting preferred
  • High level of focus, organization, and time management.
  • High-level attention to detail, thoroughness in completing assignments, and assignment follow through.
  • Ethical, patient, and professional behavior and attitude with the ability to work under pressure.
  • Ability to read donors and translate critical details to appropriate team members.
  • Impeccable customer service skills.
  • Excellent interpersonal skills.

Knowledge / Skills / Abilities:

Language Able to speak, read, write and understand English.

Mathematical Basic

Technical Proficiency in Microsoft Office Suite. Experience in Raiser's Edge or comparable donor software preferred.

 

Other:

Regular attendance, punctuality and access to reliable transportation required. Must be available to occasionally flex work schedule for special events.

 

Work Environment / Physical Demands:

The work environment characteristics and physical demands described here are representative of those an employee encounters while performing the essential functions of the job. There may be occasional wet floors, animal noises, odors, and dander.  Most time will be spent in a typical air conditioned and heated office environment.
